Below you will find a sample three-day schedule to copy, the timing rules that make it work, a destination version for Lake Como and wording to send guests. If you are putting it online, a wedding website can hold every event, address and map link behind a single link.
What Is a Wedding Weekend Itinerary?
A wedding-day timeline is written for you and your suppliers: hair and make-up at 10am, photographs at 1.15pm, speeches before or after the meal. A wedding weekend itinerary is written for guests. It lists only the events they attend, when to arrive, where to go and what to wear, across two or three days.
You need one if guests are travelling and staying overnight, if there is more than one event, or if the wedding is abroad. For a single afternoon close to home, a simple order of the day on your invitation is usually enough.
Sample 3-Day Wedding Weekend Itinerary
This is a typical Friday-to-Sunday weekend at a country house or hotel where most guests stay on site or nearby. Copy it, then change the times to suit your venue.
| Day | Time | Event | Notes for guests |
|---|---|---|---|
| Friday | 4pm | Guest check-in | Rooms ready from 4pm; collect your welcome bag at reception. |
| Friday | 7pm | Welcome drinks | Relaxed and optional. Smart casual, nibbles rather than dinner. |
| Saturday | 2.30pm | Guest arrival | Please be seated by 2.45pm. |
| Saturday | 3pm | Ceremony | About 30 minutes. Dress code applies from here. |
| Saturday | 4pm | Drinks reception (UK) or cocktail hour (US) | On the lawn while photographs are taken. |
| Saturday | 6pm | Reception dinner (the wedding breakfast in the UK) | Speeches before or after the meal. |
| Saturday | 8pm | First dance and party | Evening guests join; bar and band until late. |
| Sunday | 10.30am | Farewell brunch | Drop in any time before 12.30pm; check-out is usually 11am. |
These timings are illustrative. Adjust them to your venue’s rules, the travel time between locations, sunset, and what your caterer, photographer and band need. If the ceremony is in a church, the minister or registrar sets the start time, so build around it.

How to Plan Your Wedding Weekend Schedule
Start with your ceremony time
Everything else hangs off the ceremony. Fix it first with your officiant and venue, then work forwards (drinks, dinner, dancing) and backwards (guest arrival 30 minutes earlier, hair and make-up finished an hour before). In summer, a later ceremony keeps guests out of the midday heat and gives you golden-hour photographs.
Add travel and transition buffers
Allow 30 minutes between any two events on the same site and at least an hour if guests have to change, check in or travel. If the ceremony and reception are at different venues, put the transfer on the itinerary with a departure time, not just the next event.
Decide which events are optional
Only the ceremony and reception should feel compulsory. Label welcome drinks, activities and brunch as optional, and say so in plain words. Guests who have travelled with children, or who arrive late on Friday, will be grateful for the permission.
Account for destination travel
Check flight times into the nearest airport before you choose the welcome-party time. A 7pm start works if most flights land by early afternoon; if many guests are on the evening flight, make Friday a drop-in or move the welcome event to Saturday lunchtime. Our guide to inviting overseas wedding guests covers notice, visas and writing dates that cannot be misread.
Coordinate with suppliers
Share the guest itinerary with your venue coordinator, caterer, photographer and transport company, and check it against their own timings. The band’s finish time, the last shuttle and brunch service are the three that most often clash.
Wedding Weekend Events to Consider
- Rehearsal dinner: a US custom the evening before, usually for the wedding party and close family only. See our rehearsal dinner invitation wording for how to invite them.
- Welcome party or welcome drinks: open to everyone who has arrived. Common in the UK and at destination weddings instead of, or as well as, a rehearsal dinner.
- Ceremony: the fixed point of the weekend.
- Reception: drinks, dinner, speeches and dancing, sometimes with separate day and evening guests in the UK.
- After-party: a late bar or pizza at midnight for those still standing. Put the finish time on the itinerary.
- Farewell brunch: a relaxed goodbye on the last morning, timed around check-out.
- Group activities: a golf round, a boat trip, a garden walk or a vineyard tour. Keep them optional and say who pays.
Destination Wedding Weekend Itinerary Example
Here is a three-day weekend on Lake Como, with the ceremony at a villa in Bellagio. Most guests fly into Milan Malpensa or Linate. By road, Bellagio is roughly one and a half to two hours from Malpensa; by rail, trains run from Milano Centrale to Varenna in about an hour, and the ferry crosses to Bellagio in around 15 minutes.
| Day | Time | Event | Travel notes |
|---|---|---|---|
| Friday | From 2pm | Arrivals and check-in | Shared transfers from Malpensa at set times; book through us by 1 May. |
| Friday | 7.30pm | Aperitivo on the lakefront | A short walk from the main hotels. Optional. |
| Saturday | 10am | Morning boat trip | Optional; meet at the ferry pier. Back by 1pm. |
| Saturday | 5pm | Ceremony in the villa gardens | After the hottest part of the day. |
| Saturday | 6pm | Aperitivo on the terrace | Sunset over the lake. |
| Saturday | 8pm | Dinner and dancing | Private boat back to Varenna and Menaggio at midnight. |
| Sunday | 11am | Farewell brunch | Shared transfers to Malpensa at 2pm and 4pm. |
Three things change abroad. In July and August, a 5pm or later ceremony is kinder than 3pm, and Italian dinners naturally start later. Public ferries stop in the evening, so if guests are staying in other lakeside towns, book a private boat or coach and put its time on the itinerary. And many villas have a set hour when amplified music must end; ask yours before you print a finish time.

The same shape works in Tuscany, swapping ferries for country roads: guests usually fly into Florence or Pisa, and a driver or shuttle matters more because villas are often down unlit lanes.
Wedding Weekend Itinerary Wording for Guests
However you share it, the wording should read as a schedule first and a greeting second. Four versions to adapt:
The Wedding Weekend of Olivia Hart and James Bennett Friday 18 June · 7pm Welcome drinks · The Orangery, Elmore Court Saturday 19 June · 3pm Ceremony, followed by drinks, dinner and dancing · Elmore Court Black tie optional Sunday 20 June · 10.30am Farewell brunch · The Garden Room
Here’s the plan for the weekend! Friday, 7pm: drinks by the fire pit as everyone arrives. Come as you are. Saturday, 3pm: we get married, then food, speeches and a very long dance. Sunday, 10.30am: bacon rolls and strong coffee before you head home. Only Saturday is a must. The rest is there if you fancy it.
Amelia & Tom · Lake Como · 17–19 September Friday 7.30pm · Aperitivo on the lakefront in Bellagio (optional) Saturday 5pm · Ceremony at the villa, then dinner on the terrace A private boat returns guests to Varenna and Menaggio at midnight. Sunday 11am · Farewell brunch, with transfers to Malpensa at 2pm and 4pm Flights, transfers and hotels are on our website.

What to Include on Your Wedding Website

- Event names that say what happens: “Welcome drinks”, not “Friday”.
- The date and start time of each event, with a finish time where it matters.
- The venue name and full address, with a map link.
- A dress code per event if they differ, for example smart casual on Friday and black tie on Saturday.
- Travel notes: airports, transfers, parking, the last shuttle or ferry.
- RSVP information: the deadline and which events the reply covers.
- Last-minute updates, such as a wet-weather plan or a changed brunch venue.
On Aurelia you can list up to 10 events, each with a name, time, venue, address and notes, and many templates add a date, dress code, description and Google Maps link for every event. Some templates, such as The Riviera and Mallorca Romance, also have a day-by-day weekend section. The Riviera demo shows Friday welcome drinks, the Saturday wedding and a Sunday farewell brunch in Positano. Browse more in our destination templates.

Two planning tips. Most couples collect one RSVP for the whole wedding, so if you need numbers for a smaller event such as the brunch, add a line to its notes asking guests to mention it in their RSVP message. And remember that a wedding website is open to every guest, so keep a private dinner off the public schedule and invite those guests directly. Our wedding RSVP guide covers deadlines and follow-ups.
If something changes, edit the event and publish again: the link stays the same. Then send guests a short note pointing them back to the site. Want the full picture first? Read what a wedding website is. Or create your wedding weekend website now.
Common Wedding Weekend Planning Mistakes
- Filling every hour. Guests need time to rest, change and explore; leave at least one half-day free.
- A welcome party timed before most flights land.
- No transport home. If the venue is remote, the last shuttle or taxi plan belongs on the itinerary.
- Optional events that sound compulsory, so guests feel guilty skipping the boat trip.
- Not saying who pays for activities. If guests pay for the golf, say so up front.
- Brunch at 9am after a party that ended at 1am.
- Changing times without telling anyone. Update the website and message guests.
Wedding Weekend Itinerary FAQs
- Who pays for wedding weekend events?
- The hosts pay for any event they invite guests to: the welcome party, the wedding and the farewell brunch. Guests pay for their own travel and accommodation. Optional activities can be paid by guests, as long as you say so clearly when you share the itinerary.
- Should every guest attend the rehearsal dinner?
- No. A rehearsal dinner is traditionally for the wedding party, close family and anyone taking part in the ceremony. If you want to welcome everyone, hold a separate welcome party for all guests.
- How do you share a wedding weekend itinerary?
- Put the full schedule on your wedding website and send the link by email or WhatsApp. Many couples also print a small card for welcome bags at the hotel.
- When should guests receive the itinerary?
- Share the outline (which days and roughly what happens) with the save the date, so guests book the right nights. Send full times with the invitation, and a reminder about a week before.
- How much downtime should a wedding weekend include?
- At least one free half-day, and two to three hours between a morning activity and the ceremony so guests can rest and change. On a destination weekend, a free afternoon is often the part guests enjoy most.
